Facility Hall Rental/Leasing Policy

The Hall Rental Committee is responsible for managing rental/lease of the OVFRD Hall Facility.

Events with under 50 attendees require at least one (1) member sponsor.

Events with over 50 attendees require at least two (2) member sponsors.

The Hall Rental Committee is responsible to ensure proper staffing for events.

Events are restricted to a maximum of 125 in the hall.

Fee Structure is on a sliding scale:

  • $100/hr. – $250/hr. depending on event size and type

Events shall not exceed 3 hours in duration, with 1 hr. for set up and 1 hr. for clean-up (total 5 hrs.).

Rental includes parking in unrestricted areas and use of the lower-level hall (and kitchen, when requested).

Evening events must end by 9 p.m.; clean up and trash removal must be completed by 10 p.m. Trash bags will be provided. Lessee is responsible to clean the facility and place trash in the dumpster.

Table cloths, serving pieces, paper goods, utensils, and condiments are not included.

No open flames are permitted except Sterno containers for chafing dishes.

Serving of beer and wine requires ABC license and a certified bartender. No hard liquor allowed.

A security deposit of $400 is required in a separate check. Deposit will be returned after the event if all rental conditions are met.

Special Exceptions

Use by members will be at no charge, but a donation will be accepted. Time limits and beer and wine service requirements the same as other users.

Use by citizens in the “first due” area for post-funeral gatherings will be at no charge, but a donation will be accepted. Time limits and beer and wine service requirements the same as other users.

Use by State or County government for official business meetings and by various organized community and environmental groups and homeowner’s associations will be at no charge, but a donation will be accepted. Time limits and beer and wine service requirements the same as other users.

Use for a private fundraising event to support a family in our first due area that is dealing with a crisis that they cannot financially sustain alone will be at no charge, but a donation will be accepted. Such an event is restricted to a single event and cannot be part of a larger campaign such as for national causes. Time limits and beer and wine service requirements the same as other users.

For-profit events are not allowed.

Partisan political events are not allowed. Non-partisan voter education events are permitted.

If a question arises about whether or not to rent the space to an individual or organization for an event not defined above, the Hall Rental Committee will contact the president for a decision. The president can decide whether to approve the event. In certain cases, the president can put the question to the board of directors.

OVFRD has the right to deny rental for any reason.

The Hall Rental Committee must be familiar with the provisions in the Facility Rental Agreement.
